Terms and conditions

Set out below are the terms on which Vanity Aesthetics provides service to its clients. Please ensure that you have read and fully understood them prior to booking any Vanity Aesthetics treatment.

         Appointments and cancellations

  • All doctors, nurses and therapists at Vanity Aesthetics are trained and approved in accordance with the company’s treatment protocols and therefore Vanity Aesthetics does not guarantee continued treatment with a named nurse or therapist.

​

  • If you are unable to attend your appointment, please contact us immediately on 0333 0142 819. We will need to know that you wish to cancel by 10am on the day before your appointment is due. Failure to cancel or rearrange before 10am on the preceding day will result in the loss of the treatment from your value pack or deposit being redeemed.

​

  • Please arrive for your appointment at least 10 minutes in advance so that the necessary paperwork can be completed. Late arrival may result in reduced treatment time or forfeiting of the appointment. Vanity Aesthetics will endeavour to ensure that your appointment runs to time; however, should we need to cancel or postpone your appointment at short notice, we will make every effort to contact you in advance.

  • Prior to your appointment we will inform you of any preparation required in advance of your treatment. Failure to follow the guide lines may result in cancellation of your appointment, reduced treatment time, or additional fees being charged.

  • Any client who requires treatment and brings a child with them must also be accompanied by another adult to chaperone the child whilst the client is being treated. Failure to bring an adult chaperone with any child will result in the treatment being cancelled and loss of the value pack treatment or deposit. No children under the age of 16 years must be left unattended within the clinic at any time.

    Credit card details, deposits and payments

  • To secure an appointment with Vanity Aesthetics a deposit is required.

​

  • For an appointment with a doctor: a deposit of £30 will be charged at the time of booking, in order to secure the appointment.

​

  • For an appointment with a nurse or therapist: a deposit of £20 will be charged at the time of booking, in order to secure the appointment.

​

       Courses of treatments

  • All treatments purchased as a course must be paid for in full in advance of the first treatment. All treatment courses (except tattoo removal*) must be taken within 12 months of the date of purchase; any treatments left untaken after 12 months will be forfeited. *Tattoo removal treatments must be taken within 24 months of the date of purchase; any treatments left untaken after 24 months will be forfeited.

  • When booking a laser hair removal course of treatment, the first 2 appointments must be taken in the clinic where the treatment course was originally purchased.

​

  • Value packs are only refundable for medical reasons. Any refund agreed is calculated by deducting the full list price of all treatments already taken, plus any charged for non-attendance, from the total price of the course of treatment, with the difference returned to you.

        Treatment suitability

  • We will always assess whether treatment is suitable for you, or likely to be successful, prior to any treatment being carried out. If not, we will inform you as to the reasons why. You will only be liable for the cost of the initial consultation, where applicable.

​

        Liability

  • Vanity Aesthetics will not be liable in contract, tort or otherwise for any economic loss (including, without limitation, loss of profit), or for any other special, indirect or consequential loss or damage arising out of, or in connection with, its provision of any goods and/or services to the client.

​

  • It is the client's responsibility to ensure that he or she provide Vanity Aesthetics with all relevant medical details prior to each treatment. Vanity Aesthetics will not be liable for any damage that occurs as a result of the client's failure to disclose such details.

​

  • The client agrees to comply with all instructions and/or recommendations given to them by, or on behalf of, Vanity Aesthetics regarding the care of a treated area. Nothing in these terms of business shall exclude or limit Vanity Aesthetics' liability for death or any personal injury resulting from Vanity Aesthetics' negligence.

 

         Your right to complain

  • Vanity Aesthetics endeavours to treat all its clients appropriately, compassionately and fairly. If however, you have an issue with any matter in relation to your treatment at Vanity Aesthetics you are entitled to lodge a complaint, either in person, by telephone or in writing. If you require assistance with making your complaint, Vanity Aesthetics will be pleased to help and support you through the process.

  • The member of staff who initially receives the complaint will convey the details to the Clinic Manager or their designated deputy. Where this cannot be resolved immediately, you will receive a letter within three working days to confirm that an investigation into the matter is underway and that a response will be made as soon as possible.

​

  • Complaints of a non-medical nature will be handled in their entirety by the Clinic Manager and their Regional Support Manager.

​

  • If your complaint is treatment related the matter will be discussed with the relevant practitioner and may require you to attend an additional consultation with that practitioner or an alternative member of the clinic’s medical team, including the Medical Director. The objective of this is to provide an explanation or a solution to your concerns. Vanity Aesthetics aims to furnish you with a full written response within 20 working days or where this is not possible, an explanation as to the cause of the delay.

  • Complainants who are not happy with the local resolution are referred to a member of the Senior Management team. If the complaint is service related this will normally be the Regional Director. If the complaint is of clinical nature this will be the Head of Medical Standards at the Support Office. The complaint will be further reviewed within 20 working days and you will be provided with a final written response. If the investigation requires further time, you will be provided with an explanation as to the cause of the delay.

     Treatment voucher:

  • Not to be used in conjunction with any other offer or promotion, unless otherwise stated.

  • Applicable only to new clients.

  • One voucher per person.

  • The voucher should be surrendered upon purchase of the treatment.  

  • Offer can only be used on treatments.

  • Offer is subject to patient suitability for treatment.

  • Voucher is non transferrable and cannot be exchanged for money.

The Vanity Aesthetics website logs IP addresses and browser types to provide you with the best possible user experience and allow us insight into consumer behaviour. You can browse our site without entering any personal information, and therefore remain anonymous during your visit. However, the enquiry form asks for personal information such as name, postal address, email address and telephone number to enable us to send out the requested information, and make any future visits to our site easier.

As web tracking offers more chances to market to website visitors across the Internet, you as a visitor to the Vanity Aesthetics website may be targeted with adverts on other websites. Google and third party vendors might show targeted adverts with the ability to opt out. First and third party cookies are used to provide information and offer improvements to optimise quality of adverts served. You can change the cookie management settings in your web browser to stop these adverts.

USE OF THE INFORMATION THIS WEBSITE GATHERS/TRACKS

The Vanity Aesthetics website logs IP addresses for systems administration purposes and these logs will be analysed to constantly improve the value of the materials available on the website.

The information that we require on our form is used to process your request quickly and accurately. From time to time we may also send you marketing material through email, SMS or direct mail related to our products and services from Vanity Aesthetics clinics (data controller) and its subsidiaries. If you would prefer not to receive such information you cansimply unsubscribe electronically via any of the email or SMS messages which will always include an option to exclude yourself from receiving this material. Please note that the suppression of your details will take some time to take effect and that we cannot guarantee stopping any communications already in production for the next 4 weeks.
